We are small firm seeking a highly motivated and detail-oriented Finance and Office Administrator Intern to manage the day to day financial and office administration functions of the business. Key Responsibilities. Generate customer invoices in a timely manner and actively follow up on outstanding payments.. Manage accounts receivable and maintain debtor aging schedules.. Conduct effective debt collection and customer payment follow-up. . Maintain accurate accounting records and bookkeeping using QuickBooks Online. . Perform daily recording and classification of financial transactions.. Perform bank reconciliations and petty cash management.. Reconcile payment gateway transactions, including bank transfers, mobile money, and online payment platforms where applicable.. Prepare payroll, pay slips and ensure timely monthly submission of PAYE returns.. Prepare and submit monthly VAT returns and other statutory obligations.. Ensure compliance with tax, regulatory, and internal financial requirements.. Monitor customer subscription renewals, billing cycles, and payment status.. Track recurring company expenses including software subscriptions, domains, licenses, and vendor payments.. Prepare weekly cash flow reports and assist with cash flow forecasting.. Assist in budgeting, cost control, and financial planning activities.. Verify financial statements, ledgers, and accounts, making corrections where necessary.. Prepare management reports and support month-end and year-end closing processes.. Assist with preparation of financial statements, audit exercises, and other finance-related functions as assigned.. Maintain proper filing and organization of contracts, invoices, receipts, and statutory records.. Support procurement and payment processing in accordance with company policies.. Carry out general office administrative duties.. Perform any other duties as assigned. Required Qualifications and Experience. Diploma/degree in Accounting, Finance, Business Administration or a related field.. At least one (1) year of experience in an accounting or finance role.. CPA qualification. . Knowledge of Kenyan tax compliance and statutory reporting requirements. . Proficiency in QuickBooks; QuickBooks Online experience will be an added advantage.. Strong computer literacy, including Microsoft Excel and other office applications.. Excellent written and spoken English communication skills.. Good time management skills with the ability to prioritize tasks and meet deadlines.. Strong attention to detail and accuracy.. Ability to work independently with minimal supervision.. High level of integrity, professionalism, and confidentiality.. Strong analytical and problem-solving skills. Added Advantages. Experience with online payment platforms and payment reconciliations.. Familiarity with budgeting, cash flow forecasting, and management reporting.
