Admin Support Volunteer
Job Description
CARE International in Lao PDR is seeking an Admin Support Volunteer to assist with administrative tasks and support the team in their operations. The role involves providing clerical and organizational support to ensure smooth functioning of the office. Key responsibilities include: 1. Managing correspondence and communication: - Handling incoming and outgoing emails, letters, and other communications. - Drafting, editing, and proofreading documents, reports, and correspondence as required. - Maintaining an organized filing system for physical and digital documents. 2. Office administration: - Assisting with the preparation of meeting agendas, minutes, and follow-up actions. - Coordinating logistics for meetings, workshops, and events (e.g., venue booking, equipment setup, catering). - Managing office supplies and ensuring adequate stock levels. - Performing general administrative duties such as photocopying, scanning, and printing. 3. Data management and reporting: - Entering, updating, and maintaining data in databases and spreadsheets. - Assisting in the preparation of reports, presentations, and other documentation. - Supporting the monitoring and evaluation of project activities as needed. 4. Stakeholder liaison: - Greeting and assisting visitors, including providing information and directing them to appropriate staff. - Answering phone calls and directing inquiries to the relevant departments or staff members. - Supporting external communications and maintaining positive relationships with partners and stakeholders. 5. Volunteer support: - Assisting other volunteers with administrative tasks and guidance as needed. - Providing a welcoming and supportive environment for all team members. 6. Compliance and ethics: - Adhering to CARE International’s policies, procedures, and ethical standards. - Ensuring confidentiality and data protection in all administrative tasks. - Promoting gender equality, inclusion, and diversity in all activities. The Admin Support Volunteer will work closely with the administrative team and other staff members to ensure efficient office operations and support the achievement of CARE International in Lao PDR’s mission.
Requirements
Qualifications and Experience: - Education: Minimum high school diploma or equivalent. A background in office administration, business studies, or related fields is an advantage. - Experience: Prior experience in administrative roles, office support, or volunteer work is beneficial but not mandatory. - Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email management. Basic knowledge of database management is a plus. - Language Skills: Fluency in Lao and English is required. Additional local languages are an advantage. - Personal Attributes: - Strong organizational and time management skills. - Excellent communication and interpersonal skills. - Attention to detail and accuracy in work. - Ability to work independently and as part of a team. - Commitment to CARE International’s values and mission. - Willingness to adhere to CARE’s policies and procedures.
