Job Description
This role involves assisting in the planning and coordination of vehicle dispatch and routing to optimize operational efficiency. The position requires maintaining accurate records of vehicle bookings, maintenance schedules, fuel consumption, and related documentation. The assistant will support the technical team with vehicle inspections, maintenance scheduling, repairs, and condition monitoring, while monitoring vehicle conditions and promptly reporting any issues or damages. Additional responsibilities include managing documentation related to vehicle rentals, returns, and maintenance logs, liaising with drivers, clients, and service providers to ensure timely deliveries and pickups, and assisting with inventory management of vehicle parts and accessories. The role ensures compliance with safety regulations and company policies, supports logistics and transport process implementation, and conducts vehicle, truck, and machinery inspections to prepare them for client use. The position also involves market assessments for vehicle and truck rentals, coordination and management of town and field drivers, tracking and reporting vehicle locations using GPS systems, and overseeing trucks, vehicles, and machinery log sheets. Administrative tasks include managing drivers’ allowances, refunds, and related duties, serving as a primary contact for field drivers, gathering and analyzing proforma information and pricing, conducting regular field visits to oversee field staff and client work, and handling immediate assignments or tasks assigned by management.
Requirements
High School Diploma or equivalent (required); Certificate or Diploma in Logistics & Supply Chain Management, Transport Management, Fleet Management, Automotive Studies, Mechanical Studies, or a related field; Basic knowledge of vehicle maintenance and servicing schedules; Understanding of fleet operations and transport regulations; Ability to maintain accurate records, including fuel usage, mileage, and service logs; Basic computer proficiency, including Microsoft Excel, Word, and fleet or logistics software; Knowledge of inventory and spare parts tracking; 3–5 years of relevant experience in logistics, transport, fleet support, or a related field; Experience assisting with vehicle inspections or maintenance coordination; Exposure to warehouse or distribution operations is an advantage; Strong organizational and time-management skills; Excellent attention to detail; Good written and verbal communication skills; Ability to work effectively with drivers, mechanics, supervisors, and other stakeholders; Strong problem-solving and basic troubleshooting skills; Basic understanding of health and safety regulations; Valid driver's license is an advantage; Ability to work flexible hours when required.
