Job Description
The Operations Supervisor oversees the daily operations of the Mombasa branch, ensuring efficient transport, timely deliveries, and excellent customer service. The role supervises staff, coordinates fleet and logistics activities, ensures compliance with company policies and safety standards, and drives operational efficiency to meet business objectives. Key Responsibilities: - Supervise daily branch operations to ensure efficient and timely execution of logistics activities. - Coordinate the movement, dispatch, and delivery of shipments while ensuring service level agreements (SLAs) are met. - Monitor vehicle scheduling, route planning, and driver performance to maximize operational efficiency. - Ensure accurate documentation for shipments, deliveries, collections, and inventory movements. - Supervise and support drivers, riders, loaders, and other operations staff, ensuring adherence to company procedures. - Monitor branch operational performance and recommend process improvements to enhance productivity and cost efficiency. - Investigate and resolve operational issues, delivery delays, customer complaints, and service disruptions promptly. - Maintain effective communication with customers, transporters, warehouse teams, and internal departments. - Ensure compliance with transport regulations, company policies, health and safety standards, and security procedures. - Conduct daily operational briefings and provide guidance to operational staff. - Prepare daily, weekly, and monthly operational reports for management. - Monitor fleet utilization and coordinate routine vehicle maintenance with the fleet department. - Ensure proper handling and safeguarding of customer cargo. - Support business continuity by responding effectively to operational emergencies and unforeseen challenges. - Assist in staff training, performance monitoring, and performance improvement initiatives. - Perform any other operational duties assigned by management.
Requirements
Qualifications: - Diploma in Logistics, Supply Chain Management, Business Management, Transport Management, or a related field. - A bachelor's degree in a relevant discipline will be an added advantage. - Minimum of 3 years' experience in logistics, courier, transport, or supply chain operations, with at least 1 year in a supervisory role. Knowledge & Experience: - Strong understanding of logistics, transport, distribution, and last-mile delivery operations. - Excellent knowledge of Mombasa and its surrounding areas, including industrial zones, ports, commercial districts, and major transport routes. - Good understanding of the Nairobi transport network and the Mombasa–Nairobi logistics corridor. - Experience coordinating deliveries, fleet operations, and field teams. - Familiarity with transport documentation and operational reporting. - Experience using Microsoft Office applications, particularly Excel and Outlook. - Experience using logistics or transport management systems (TMS) or ERP software will be an added advantage. Skills & Competencies: - Strong leadership and people management skills. - Excellent planning, coordination, and organizational abilities. - Ability to prioritize tasks and work under pressure. - Strong analytical and problem-solving skills. - Excellent verbal and written communication skills. - Customer-focused with a high level of professionalism. - High level of integrity, accountability, and attention to detail. - Ability to make sound operational decisions with minimal supervision. - Strong negotiation and conflict-resolution skills. - Good time management and multitasking abilities. Requirements: - Diploma in a relevant field. - Valid Certificate of Good Conduct will be an added advantage. - Ability to work flexible hours, including weekends and public holidays when operationally required. - Knowledge of Mombasa and Nairobi road networks is essential. - Proficiency in Microsoft Office applications. - Valid motorcycle riding licence with the ability to ride a motorcycle is an added advantage. - Valid driving licence will be an added advantage.
