Administrative Assistant
Job Description
The Administrative Assistant will provide comprehensive administrative support to the Embassy of Japan in Rwanda, ensuring smooth operations of the administrative department. Primary responsibilities include managing correspondence, preparing reports, maintaining records, and coordinating meetings and events. The role involves handling official documents, assisting with visa and consular services, and ensuring compliance with diplomatic protocols. The assistant will also liaise with internal departments and external stakeholders, including government officials and international partners. Proficiency in both English and Kinyarwanda is essential, with additional fluency in French or Japanese considered advantageous. The position requires meticulous attention to detail, strong organizational skills, and the ability to work under pressure in a diplomatic environment.
Requirements
Bachelor's degree in Business Administration, Public Administration, or related field; minimum of 3 years of relevant administrative experience; proficiency in English and French (Kinyarwanda is an added advantage); strong organizational and communication skills; ability to work under pressure and maintain confidentiality; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); prior experience in a diplomatic or international organization is preferred.
