Job Description
The Accounts Receivables role at Royal Mabati Factory involves managing invoicing and claims, ensuring all invoices and supporting documents from branches/units are collected, verified, and organized. The position requires verifying claim forms, delivery notes, and invoices against company standards before dispatch, approving and batching invoices for upload into ERP/AR systems, and maintaining accurate posting of customer invoices, debit notes, and credit notes. Responsibilities also include maintaining proper backup, filing, and archival of all AR documents. The role involves receiving, recording, and allocating customer receipts (bank, MPESA, cheque, RTGS), reconciling customer accounts monthly, and resolving billing discrepancies, pricing issues, and invoice disputes. Additionally, the position requires preparing and supporting month-end AR reconciliations, ensuring all proof of deliveries (PODs) are attached and validated, and actively monitoring the AR aging report to follow up on overdue invoices. The role includes engaging customers, sales teams, and internal departments to resolve payment issues, ensuring compliance with the company credit policy, and handling customer complaints related to returns, credit notes, and POD issues. The position also involves preparing weekly and monthly AR reports, providing data for internal and external audits, and ensuring adherence to financial policies, accounting standards, and statutory requirements.
Requirements
Bachelor’s Degree in Accounting, Finance, Commerce, or related field; CPA (K) or equivalent professional qualification (ACCA, CCP); Minimum 3 years’ experience in Accounts Receivable, preferably in manufacturing or FMCG; Proficiency in TALLY, SAP, ERPNext, Zoho, Oracle, or related accounting software; Strong knowledge of Kenyan tax laws (VAT, WHT, WVAT compliance); Strong understanding of accounting principles and AR workflows; Solid knowledge of Kenyan tax laws applicable to receivables; Strong ERP system competency; High numerical and analytical skills; Strong organizational and time management skills; Ability to work independently and collaborate in a fast-paced team environment; High level of integrity and confidentiality.
