Purpose of the Position To provide effective reception and administrative support, ensuring smooth front-office operations and timely flow of communication within the organization. 2. Key Responsibilities · Receive and welcome visitors professionally and courteously. · Receive telephone calls, respond to enquiries, and direct calls to the appropriate departments. · Issue, record, reconcile, and manage stationery supplies. · Sign out cheques to suppliers in accordance with established procedures. · Maintain accurate administrative records and ensure proper filing of documents. · Support general office administration and ensure effective flow of internal and external communication. · Perform other administrative duties and hospitality duties as assigned, including supporting the CEO with hospitality requirements, preparing and serving refreshments to guests, maintaining proper filing and documentation, and providing general office support as required. 3. Required Qualifications and Skills · Diploma in Business Administration, Office Administration, Secretarial Studies, or a related field. · At least 3-5 years of relevant experience in administration, reception, office management, or a similar role. · Good knowledge of office administration, filing, and records management. · Good telephone etiquette and customer service skills. · Proficiency in Microsoft Office applications, particularly Word and Excel. · Excellent communication and interpersonal skills. · Strong organizational skills and attention to detail. · High level of integrity, confidentiality, and professionalism. · Ability to multitask, prioritize tasks, and work with minimal supervision. · Ability to work effectively as part of a team. · Experience in a corporate, NGO, or professional office environment will be an added advantage.
