Accounts Assistant

Job Description

The Accounts Assistant will support daily finance operations within the production and distribution environment, ensuring accurate recording of transactions, strong cost control, and compliance with Ugandan statutory requirements. The role requires a detail-oriented and disciplined individual with the ability to manage both financial records and inventory-related processes in a fast-paced FMCG setting. Key responsibilities include processing supplier payments, staff claims, and internal transfers with proper approvals and documentation; preparing and posting payment vouchers, cash journals, and general ledger entries accurately and on time; maintaining and reconciling petty cash and cash advances; supporting daily and weekly cash flow tracking and reporting; assisting with bank transactions, reconciliations, and follow-ups; maintaining accurate records of raw materials, packaging materials, work-in-progress, and finished goods; supporting daily and periodic stock counts and reconciling variances with physical stock; tracking and recording production costs, including materials usage, labor input, and overhead allocation; monitoring and reporting wastage, variances, and inefficiencies in production; working closely with stores and production teams to ensure all stock movements are properly documented and authorized; supporting implementation of FIFO (First In, First Out) and expiry tracking for materials; maintaining well-organized and up-to-date accounting records; ensuring proper filing and easy retrieval of all financial documents; updating and maintaining the fixed asset register and inventory schedules; ensuring all documentation meets audit and compliance standards; assisting in preparation and timely submission of statutory obligations such as NSSF contributions and Local Service Tax (LST); ensuring all transactions are compliant with URA regulations and company policies; supporting internal and external audits by preparing schedules and responding to queries; assisting in strengthening internal controls to minimize fraud and errors; supporting the Finance Manager in daily operations and reporting; stepping in to handle basic finance functions in their absence within approved limits; identifying and promptly reporting discrepancies, errors, or unusual transactions; and contributing to continuous improvement of financial systems, controls, and reporting processes.

Requirements

Diploma in Accounting, Finance, or a related field; At least 2 years of experience in accounting or finance roles; Proficiency in accounting software (e.g., QuickBooks, Sage, or similar); Strong knowledge of Ugandan tax regulations and statutory compliance (URA, NSSF, LST); Excellent attention to detail and organizational skills; Ability to work in a fast-paced FMCG environment; Experience with inventory management and cost accounting is an added advantage; Proficiency in Microsoft Office Suite (Excel, Word); Strong communication and teamwork skills.
