Tender Notice for Supply, Installation of Spare Parts, Preventive Maintenance and Repair Services of Air Conditioners

KT Rwanda Networks Ltd (KTRN) is seeking qualified companies to provide comprehensive air conditioning (AC) services, including supply and replacement of spare parts, preventive maintenance, and repair services across Rwanda. The selected company will be responsible for maintaining and repairing AC units at various locations nationwide, ensuring high-quality and consistent service delivery. This includes diagnosing, repairing, or replacing faulty parts, providing emergency response services within immediate effect, and submitting detailed maintenance reports after each service. The company must also offer a 24/7 contact number for emergency support and coordinate with KTRN’s Energy Unit Team Leader for site accessibility arrangements. All work must be documented in job cards or logbooks, including site details, equipment status, work performed, and signatures from both company and KTRN staff.

The qualified company must have at least 3 years of experience in AC repair and maintenance services; provide at least 3 references of similar accomplished works and one live or running contract with a recognized local organization; possess a workshop with a sufficient inventory of spare parts for maintenance and supplies; have at least 3 permanent staff with 3 years of experience in relevant fields (Electricity, Electronics, Electro-mechanics, Mechanical); submit signed CVs of staff along with notarized academic or professional certificates (minimum A1 or equivalent); demonstrate financial stability and provide a performance guarantee insurance cover of 10,000,000 RWF before contract signing; submit a maintenance service plan every 4 months for one year and maintenance reports after each service; provide emergency response capabilities with a 24/7 operational telephone line.
